Should transportation be included in a warehouse RFP?+

Include it if you want the provider accountable for total landed cost rather than just the four walls. Bundling warehousing and transportation usually surfaces savings in inbound consolidation and outbound mode optimization — but price it as a separate line so you can still compare warehouse rates directly.

How detailed should SKU data be in an RFP?+

Detailed enough that a provider can calculate cube without guessing. At minimum: SKU count, case dimensions and weight, units per case, cases per pallet, and storage condition. A file with dimensions beats a headline SKU count every time — it is the single biggest driver of pricing accuracy.

What KPIs matter most in a warehouse contract?+

Inventory accuracy, order accuracy, on-time shipping, dock-to-stock time, order cycle time, and fill rate cover most operations. Add damage rate and chargeback rate if you ship retail, and pick accuracy by line if you run ecommerce. Define the formula for each in the contract, not just the name.

What is a realistic implementation timeline?+

Six to twelve weeks for a straightforward single-site program, three to six months for a multi-site or heavily integrated one. The variables that stretch it are EDI complexity, data quality in the item master, and whether inventory has to move while you keep shipping.

Should I conduct site visits before awarding?+

Yes, and on a working day rather than a scheduled tour slot. Housekeeping, dock discipline, how staff handle an exception, and whether the WMS screens match what was demoed tell you more than any written response.

Should I ask for customer references?+

Always, and ask for one reference in your industry plus one at similar volume. The most useful question to a reference is about the hardest week they had with the provider and how it was handled — not whether they are satisfied overall.

How do I compare pricing models between providers?+

Rebuild every quote on one volume model before comparing. Providers use different storage units, different handling definitions, and different accessorial structures. Normalizing to a single monthly cost at your actual volume is the only way to see the real difference.

What certifications should I require from a 3PL?+

Match the requirement to the product. Food and beverage typically requires SQF and FDA registration; organic products need certified handler status; meat, poultry, and seafood may require USDA. Ask which certifications apply at which specific site rather than at the company level.

How do I evaluate a warehouse management system?+

Ask for a live demo using your data, not a canned dataset. Check lot and expiration handling, how cycle counts are recorded, what the customer portal shows without asking for a report, and which EDI transaction sets are native versus custom-built.
